Exhibitor Service Requests
The following service request forms can be used to request phone, electrical, or Internet service to your exhibit space. All completed forms should be faxed to the Crowne Plaza's Convention Services Department at 212-315-6187 along with a clear, enlargened front and back copy of the credit card. Even if you are paying by check, a credit card is still required to guarantee the request. Please follow all instructions on the forms. All are in Adobe Acrobat format.

Reserving Exhibit Space
As the Exhibit Hall is a valuable resource provided for the benefit of all Delegates, there is no charge to qualifying members for exhibit space booked prior to 9 November.

  • The exhibition areas will utilize the Crowne Plaza Ballroom plus the six adjacent meeting rooms.
  • Subject to capacity, free exhibit space will be available to any artist manager, consultant, service provider, or representative of a touring performing organization who is an ISPA member and registered as a fully paid Delegate.
  • Exhibit space is made available on a first-come, first-served basis, with priority given to sponsors and renewing 2000 exhibitors. Delegate's registration fee and membership must be paid in full to be eligible for free exhibit space.
  • Declined credit cards must be corrected within 48 hours of notification to retain priority.
  • The ISPA Executive Director will have final authority to determine whether an organization is eligible to exhibit, and the terms of their participation.

Allocation and Specifications of Exhibit Spaces

  • One exhibit space may be reserved per membership-and-delegate-registration, to a maximum of three spaces. For example, an artist management holding both a full membership and an affiliate membership with at least two delegates registered for the Conference may reserve two exhibit spaces. A management with only one full membership may reserve only one space, regardless of the number of delegates or two-day registrants registered.
  • Each exhibit space includes a 6 ft. x 30 inch (1.8 x 0.8 meters) table and two chairs.
  • Table covering and skirting are provided for all exhibit spaces.
  • Special requests must be made in writing. Requests for adjacent space involving different organizations will be assigned on the basis of the applicant with the lowest priority, or last paid application received. Additional suite space
    is available for major sponsors.
  • Exhibit space requests received after 9 November will be processed upon payment of the required fee if space is available, but signage and inclusion in the International Performance Directory cannot be guaranteed.

Displays

  • All displays, equipment, and cases must be placed on or under exhibit tables, which are approximately 29 inches (74 cm) high. Displays must not extend higher than 8 feet (2.4 meters) from the floor or 5.5 feet (1.7m) from tabletops. Tables must not be moved from their original position.
  • Separate video carts or display units which extend beyond the table edges are not permitted.
  • Use of a free-standing floor display in place of a table requires written permission in advance from the ISPA office.
  • Orders for utilities including telephone and electric connections must be placed directly with the Crowne Plaza.
    A limited number of video units are available for rental from the ISPA office.
  • All sound must be contained with the use of headphones.
  • Displays must be nonflammable.

Exhibit Hall Schedule Information
(all schedules and conditions subject to change)

  • Exhibit Hall set-up will take place from 11:00am to 2:00pm on Sunday, 16 December.
  • All Delegates, Guests and Two-Day Registrants registered for Sunday are invited to the lunch at The Supper Club.
  • Exhibit hours on Sunday, 16 December will be from 2:00-7:00pm (including reception beginning at 5:30pm).
  • Exhibit hours on Monday, 17 December will be from 9:30am-1:00pm. Breakdown will be from 1:00pm to 2:00pm.

Exhibit Hall Regulations

  • Exhibit hall admission is restricted to full and two-day Delegates, and their registered Guests. Animals and wheeled vehicles including strollers, except those required by persons with special needs, are prohibited. Children other than babes-in-arms must be registered as Guests to enter the exhibit areas and should be closely supervised.
  • The soliciting of business in any conference areas by individuals not registered is prohibited. The
    soliciting of business within designated exhibit areas is specifically restricted to registered exhibitors.

Note:
Neither ISPA or its representatives, nor the Crowne Plaza Manhattan or its representatives, can be held responsible for any loss of or damage to exhibitors' property from any cause, prior to, during, or following the Conference. Those who apply to exhibit expressly assume all liability for any loss or damage, and unconditionally release ISPA and its suppliers from any and all claims. Exhibitors expressly agree to remove any materials deemed by the ISPA Executive Director to be inappropriate.
