Mandate of the Organization
The International Society for the Performing Arts (ISPA) is an international membership association dedicated to enhancing the interaction and exchange for cultural leaders in a global context. Our 400 members represent all aspects of the performing arts in more than 47 countries. ISPA is focused on expanding and diversifying its membership through the following initiatives over the next three years:

  • Expansion of its two annual (January, New York and June, international destination) and facilitating regional congresses
  • Program development including intern training programs, web-site development and enhanced on-line services and advocacy
  • Profile enhancement through marketing and media relations

Employment Description
Reporting to the CEO, the Membership & Administration Manager is responsible for all member services and communications. This position is the front-line in responding to a diverse and growing membership. Key to the position is maintaining constant and effective communications with our membership as well as working with the CEO and volunteer committees in realizing ISPA's annual Congresses. The role will also involve the strategic development of new membership services. In this multifaceted position, the incumbent will also be responsible for the day to day management of ISPA's offices including assisting the CEO in all management aspects of the organization. Specific responsibilities will include:

Manage ISPA Membership
ISPA has a diverse membership of 400 individuals representing some 45 different nations. Ongoing and effective communications with this membership is a critical aspect of this position.

  • Nurture and strengthen relationship with members, including understanding of sector-wide needs and priorities
  • Maintain and strengthen member benefits program
  • Manage the database as well as publish the annual membership directory
  • Develop such materials as may be effective in promoting ISPA membership
  • Liaise with the Board to help facilitate their Membership approaches; Produce quarterly reports to the Board on Membership
  • Manage and develop content for the website to ensure its ongoing relevance and usefulness

Event Management
ISPA holds an annual Congress in January in New York and an international Congress in June (2008-Durban, 2009-Sao Paolo, and 2010-Zagreb). In addition there may be regional Congresses.

Working with the CEO and Planning Committee, this position is key to the implementation of the Congress:

  • Manage the registration database, produce registration materials and on-site management of the registration process
  • Liaise with venue and supply partners
  • Coordinate production of the program, solicit advertisers and manage sponsor services
  • Respond to special needs for Congress attendees as well as speakers and guests

Administration
ISPA's new offices in Manhattan support a small staff of two part-time and two full-time positions in a shared environment. An ability to run an organized and effective office environment will ensure a positive work place.

  • All office coordination including managing the effective operation of office equipment including computers, copiers etc.
  • Managing the day to day office operations including sorting mail, ensuring adequate office supplies and ensuring effective responses to inquiries and visitors during normal office hours
  • Provide support services to members visiting ISPA offices including a work station, meeting rooms etc.
  • Liaise with other tenants to ensure an effective and pleasant office environment

Requisite Skills

  • A diploma or related university degree
  • Four years experience in this or a related role
  • A demonstrated appreciation and knowledge of the performing arts in a global environment
  • Well organized, self-starter, creative, idea generator
  • Experience organizing events
  • Work well in a team environment where a very small staff are responsible for a variety of tasks and initiatives
  • Ability to work on many initiatives for different groups at the same time
  • Excellent verbal and written communications skills
  • Attention to detail and the ability to manage multiple projects simultaneously
  • Facility with technology, managing website, databases and Office programs (i.e. html, Access, Adobe Photoshop, Adobe InDesign etc.)
  • Strong presentation, organizational and interpersonal skills
  • Ability to work well in a hectic, entrepreneurial and creative environment
  • A willingness and desire to travel
  • A second language is a definite asset

Terms: Full-time, 1 Year contract, with expectation to renew, competitive salary plus benefits
Location: Manhattan with some travel
