Virtual Edition 2021 ISPA - Pheedloop

Pheedloop Q&A

The Virtual Edition will be streamed on Pheedloop, a virtual event engagement platform for organizers, attendees, speakers, sponsors, and exhibitors. Login information will be sent to attendees prior to the start of the congress.

This may be your first time attending a multi-day conference online, so we put together this Q&A page to share some quick tips and tricks. This page will walk you through the basic steps to navigate the Pheedloop platform as delegates and exhibitors.

 

Login & Setup

    All registered delegates will receive login credentials from PheedLoop (no-reply@pheedloop.com) with a link to the event in PheedLoop. Please note that the email will be arriving early January (depending on when you registered).

    Save your email with the PheedLoop sign-in information and the virtual portal link so that you can easily access it! This is unique to you.

PheedLoop recommends using Google Chrome from a laptop or desktop for the best user experience. Please note that session videos won’t be accessible if you are using a tablet or a mobile device.

Make sure you have the most current version of Zoom. Some video content/interactive functions might not be accessible in the older versions of Zoom.

Click the Visit Virtual Portal button and once you are on the website, input your unique log-in credentials to log into the Virtual Edition: 2021 ISPA Congress virtual platform.

Once you log-in, you’ll want to edit your profile under “Account.” Your profile is your Congress avatar and will be how you appear to other attendees.

  • Please make sure to add your profile photo so that other delegates can find you! (For best photo quality, please use PNG or JPEG sized 250 x250)
  • Write a short bio. This bio is helpful for networking, so please make sure to fill it out!
  • Please include some form of contact information in order for delegates to reach you.
  • Link to your website, social media, and meeting link, if applicable.
  • Set your time zone. Click to View Change Timezone Video Guide.
    When delegates login to the virtual event portal, times are automatically adjusted based on the browser's detected location. As a result, attendees will be able to follow along with sessions based on their own time zone! Attendees can check their time zone by navigating to "Account” within their virtual event portal.
  • Set up push notifications. Click to View Push Notification Video Guide.
    When you first log in, you will be prompted to enable notifications. If you select “Ok” you’ll receive all notifications such as important announcements and private messages. You can customize which notifications you want to receive in the “Account” tab. You will receive notifications when someone messages you on the chat function, or when a session is about to start, even when you are not logged into the event.

  • “Help Desk”
    Navigate to the Networking tab, click "Groups" and search for the "Help Desk." Staff will be available during Congress hours to assist.
  • Message Us
    Feel free to enter questions in the chat with any ISPA volunteer account. All ISPA volunteer accounts will have an ISPA logo as their profile picture.
  • Email Us
    Additionally, staff and volunteers will be available during Congress hours to assist over email at contact@ispa.org.

Networking & Chat

You can access your chats at all times through the Private Chats hovering bubble at the bottom left that follows you across the platform.

When another delegate sends you a private message, you will receive a notification at the top of your screen. Click the notification to reply to the message. The conversation will be synced and saved at the Private Chats hovering bubble that follows you across the platform so you can reply at your convenience.

  • All sessions allow attendees to see who else is in attendance and to connect and chat with fellow delegates through the public chat using the chat widget on the right.
  • To connect and chat with a fellow delegate attending the session, click on the people icon to the right of the chat widget menu on top, then click on the delegate you wish to send a private message and initiate the conversation.
    Once the chat is initiated, the conversation will be synced and saved at the Private Chats hovering bubble that follows you across the platform so you can reply at your convenience.
    After you initiated your conversation with the delegate, you could also click Join Video Call through the Private Chats hovering bubble. Click to View Video Call Guide
  • To send a public message to everyone attending and joining the session, click on the chat icon to the left of the chat widget menu on top then type your message at the bottom and publish your message. Please note that this message will be public and on display in the public chat of the session. Your messages in public chat won’t be synced at the Private Chats hovering bubble and you will need to stay on the page to see your message.

  • You can click ProEx in the menu to view all ProEx Virtual booths. For Pitch Projects, you can click Pitch Projects in the menu.
  • To post a public message in a Virtual Booth, you can click on the booth, then type and send your message on the right in the Public Exhibitor Chat widget. Please note that the messages you post here will be visible to everyone who clicks on the Virtual Booth.
  • To connect with the booth manager(s), click on the booth then on the Start Chat button under the host’s profile to send a private message and initiate the conversation.
    Once the chat is initiated, the conversation will be synced and saved at the Private Chats hovering bubble that follows you across the platform so you can reply at your convenience.
    After you initiated your conversation with the booth manager(s), you could also click Join Video Call through the Private Chats hovering bubble. Click to View Video Call Guide
  • Identify the delegate you wish to connect with under Networking>People. The PheedLoop platform offers the ability to search the delegate list by name and organization, as well as to connect with fellow attendees in real-time.
  • You can also use the existing Region filters to identify delegates that you wish to connect with.
  • Click on the delegate profile then click the Start Chat button to initiate a chat with your fellow delegates.
  • Once the chat is initiated, the conversation will be synced at the Private Chats hovering bubble that follows you across the platform so you can reply at your convenience.

  • Identify the group you wish to join under Networking>Group. Click on the group then click Join Video Call to meet your fellow delegates “face-to-face” or chat with the group using the chat widget on the right.
  • Please note that your messages in Groups won’t be synced at the Private Chats hovering bubble and you will need to stay on the page to chat or video call with fellow delegates in the group.

  • Go to Networking>Booth to see who has stopped by your virtual booth. Click on profiles of delegates who visited your booth to send a follow-up message!
  • Delegates can also reach out to booth managers through a direct private message. You will receive a notification when a delegate sends you a private message. You can reply at the Private Chats hovering bubble at the bottom left. The conversation will be synced and saved at the Private Chats hovering bubble that follows you across the platform so you can reply at your convenience.

The message you post in the Public Chat sections (in event lobby, sessions, ProEx, Pitch Projects) will be visible by all delegates who visit the page and cannot be recalled by yourself after posting.
Please refrain from posting promotional content, private messages or technical issues in the Public Chat. The ISPA team will be monitoring and deleting such public chat messages.

To send a private message to a specific delegate, please click the delegate’s profile to send a private message and initiate the conversation.

Accessibility

Pheedloop offers various accessibility adjustments through its platform. Click on the accessibility icon on the top-right corner in Pheedloop to make any adjustment.

All on-demand sessions will have auto-translated YouTube captions in 110 languages. The English captions will be on by default. To change the language, click on Settings > Subtitles/CC > Auto-translate > and select the language of your choice.


All live sessions will have auto-generated captions by SyncWords in 4 languages (English, Chinese, Spanish, and French). The captions are off by default. To turn on the captions, you can click on the "Show Captions" button directly under the video on the left-hand side. The default captions will be in English. You can select the caption language from the drop-down menu that appears beside the "Hide Captions" button, after turning on the captions.


All live-streamed content will be available on-demand after its live broadcast with captions in additional languages!

  

ProEx Exhibitors

All registered ProEx exhibitors will receive their exhibitor portal access from PheedLoop (no-reply@pheedloop.com) with a link to their virtual booth in PheedLoop.

Save the email you receive with the exhibitor portal link so that you can easily access it! This is unique to you.

You will receive a separate email with attendee login credentials.

Once you log-in, you’ll want to edit your profile by clicking the “Edit Profile” option on the left hand menu.

All of this information will be shared and accessible to the delegates at the event.

The ISPA team has already pre-filled your booth with what you submitted in your registration form, but please review the information in your profile to make sure it is accurate.

  • Make sure to include your website and any social media links.
  • Contact information is important so that you can be contacted by other delegates during and after the congress.
  • Save your profile before exiting.

You can edit the design of your virtual booth by clicking the “Edit Design” option on the left hand menu.

Please upload a logo, a thumbnail, and a banner image, and pay close attention to the specific dimension sizes as listed in this upload section.

  • For best visual results, a rectangle shaped logo is recommended with a transparent background and no white space.
  • Consider including your promo video as well, so that delegates can get an in depth look at your services.
  • Save your design before exiting.

As this is a virtual event, we won’t be using a floor plan, but please note that our sponsors and star members will be prioritized and then each booth will be listed alphabetically in our ProEx section.

You will see all pending tasks uploaded here by the time you log into the platform. This section serves as a helpful reminder to make sure you have uploaded your logos in the edit design section or included your promotional video!

You can edit the design of your virtual booth by clicking the “Managers and Tickets” option on the left hand menu.

The ISPA team has already added the staff member who will be manning your booth. Please make sure to list their role as seen in this drop down.

If you’d like to add another staff member, please reach out to Marissa Oliver (moliver@ispa.org) and note that any additional booth managers must be registered for the Congress.

Save your updates before exiting.

The lead retrieval system is an extra service offered by the Pheedloop platform.

It is a package to help delegates reach out and help you to track and follow up. It comes at an additional cost of $99 USD. Click here for more information if you are interested.

You can upload additional files to your virtual booth by clicking the “File Uploads” option on the left hand menu.

Consider uploading any of your usual booth handouts, one-sheets, or informational pamphlets that you would usually pass out to delegates in person. The files you uploaded will be accessible for delegates to download from your virtual booth.

You can review and edit the region by clicking the “Select Products and Services” option on the left hand menu.

The ISPA Team has manually selected your organization’s region based on your registration details. This will allow your booth to show up more easily through regional filters.
